monday.com Subitem Reminders: X Hours Before the Date
The problem, in a real example
A support team plans outgoing messages as subitems. Each subitem has a Sending time column with a date and a time, and an owner in a People column. They want the owner to get a heads-up one hour before each message goes out.
They asked about exactly this in the monday community in October 2026, and the answer they got from monday support was that it isn't possible with native automations. That matches what you see when you try to build it.
What monday can do natively for subitems
In a custom automation you can use a subitem date as the trigger ("when subitem date arrives") and then notify someone or change the subitem's status. That covers day-level reminders. Where it stops:
- One hour for everyone. The automation runs at a time of day you choose, the same for every subitem. A subitem due at 14:30 and one due at 08:40 both get their reminder at, say, 09:00.
- No hours or minutes. You can say "1 day before" or "1 week before", not "1 hour before" or "15 minutes before".
- The time in the column is ignored. Turning on "Include time" doesn't change when the automation runs.
- Formulas don't help. A formula column that subtracts an hour can't trigger an automation.

Workarounds without an app
1. A day-before reminder at a fixed hour
If "the day before, at 17:00" is good enough, the native recipe does it with no extra tools. It's the right answer when the time of day doesn't matter.
2. A second date column holding the reminder date
Some teams add a "Reminder date" column and fill it by hand or with an automation (for example, push the date back one day). It still fires at the automation's fixed hour, so it doesn't solve "1 hour before", and it's one more column to keep correct.
3. Zapier or Make on a schedule
A scenario can run every 15 minutes, search the subitems board for times in the next hour, and send the alerts. It works, with polling delay, per-task cost, and a scenario to maintain. Add to monday- On the parent board, add the Precise Triggers board view (+ Add view → Precise Triggers).
- Pick the date column. Subitem columns are listed as Subitems › Sending time (with your column's name).
- Under When should it fire?, choose 1 hour before.
- Choose the action: Notify person (the subitem's People column), Change status on the subitem, or Send webhook.
- Optional: Only run if Status is not "Sent", so finished subitems stay quiet.
- Create the trigger. Every subitem with a future time is scheduled on its own.
From then on, when someone sets or changes a subitem's time, its alert is rescheduled; clearing the date cancels it. In production tests the action fires within a couple of seconds of the scheduled minute (the promise is within 30 seconds).
Make sure the column has a time
Open the date column's settings and turn on Include time. A date without a time is read as midnight UTC, so "1 hour before" would land at an hour you don't expect.
More than one reminder
Create one trigger per timing on the same subitem column: for example a notification 1 day before, another 1 hour before, and a status change to "Due" at the time itself.
Limits worth knowing
- Timings are presets: 5, 15 or 30 minutes, 1, 2 or 4 hours, 1 or 2 days, or 1 to 4 weeks before; 15 or 30 minutes, 1 hour or 1 day after.
- Three actions: notify a person, change a status, send a webhook. For anything else, send the webhook to Make, Zapier or your own API.
- Conditions use column values, not the group a subitem is in.
- No recurrence ("every Monday"). It fires relative to the date in the column.
FAQ
Can monday.com send a reminder 1 hour before a subitem's date?
Not natively. Subitem date automations run at one fixed hour, with offsets in days or weeks. You need an app that reads the time in the column.
Does the reminder move when someone changes the subitem's time?
Yes. A change to the date, or only to the time, reschedules it. Clearing the date cancels it.
Does it work on the parent item's date too?
Yes. Pick the parent's date column instead and the action runs on the item. You can have triggers on both.
