monday.com Meeting Reminders 15 Minutes Before the Call
Why the native reminder doesn't work for calls
Say your board has a Call time column: Monday 09:30 with one client, 16:00 with another. The native recipe "when Call time arrives, notify Owner" runs once, at the hour you pick in the automation, for every item. Set it to 09:00 and the 16:00 call gets its "reminder" seven hours early. There is no "15 minutes before" or "1 hour before" option, and a formula column that subtracts minutes can't trigger anything.
For a sales team, a recruiter or a clinic, a reminder seven hours early is just noise. It needs to arrive when someone can act on it.
Option 1: let Google Calendar do the reminding
monday's Google Calendar integration can create a calendar event from each item's date. Once the call is in the owner's calendar, the calendar's own "15 minutes before" alert works as usual. This is a good fit when:
- everyone involved already lives in Google Calendar, and
- you only need a heads-up, not a change on the board.
What it won't do: change the item's status, check whether the call was cancelled in monday since the event was created, or flag calls that ended without a follow-up. The reminder also lives outside monday, so it doesn't show in the board's activity.
Option 2: fire actions from the time in the column
Full disclosure: I built Precise Triggers, a monday app that schedules an action for each item at the time in a Date column, or before or after it. A typical setup for calls uses three triggers on the same column:

The condition is checked at the moment each trigger fires, so a call marked Cancelled in the meantime stays silent. If someone moves the call to 17:00, all three reschedule. Each call is handled on its own time, and in our production tests actions fire a few seconds after the scheduled minute.

- Make sure the call column is a Date column with Include time turned on. Without a time, the date is read as midnight UTC.
- Add the Precise Triggers board view (+ Add view → Precise Triggers).
- Create the first trigger: column Call time, timing 15 minutes before, action Notify person → the Owner column, condition Status is Scheduled.
- Repeat for the other two rows of the table above.
Reminding the client, not just your team
The built-in actions talk to people inside monday. To text or e-mail an external attendee, use the Send webhook action to start a Make or Zapier scenario at the right minute; that scenario looks up the item and sends the SMS or e-mail. The webhook carries the item ID and the scheduled time (see webhooks on a date column).

- Customer success: onboarding sessions and quarterly reviews.
- Recruiting: interviews, with "needs feedback" flagged an hour after.
- Services and clinics: appointments and site visits.
- Teams across time zones: the time is stored as one moment, so the reminder lands at the right minute wherever each person is.
Limits
- Timings are presets: 5, 15 or 30 minutes, 1, 2 or 4 hours, 1-2 days or 1-4 weeks before; 15 or 30 minutes, 1 hour or 1 day after.
- No recurring meetings ("every Tuesday"): each item fires from its own date.
- Notifications are monday notifications (bell, e-mail digest and mobile push, depending on each person's monday settings).
